Request a GA, PTI , Temporary or Student Position
Purpose
Use this guide to request a new position number (PIN) for a Graduate Assistant (GA), Part-Time Instructor (PTI), Faculty Overload/Faculty Summer, Temporary Staff, or Student Employee in MySlice.
This process creates the PIN only. Hiring and onboarding steps occur after the PIN is approved.
Who This Guide is For
Department Administrators
Managers of Supervisors who are responsible for initiating position requests
You must have access to the Position Evaluation Request (PER) tile in MySlice to complete this process.
When to Use (and When Not to Use) This Guide
Use this guide when you need to:
Create a new GA, PTI, Temporary Staff, or Student position
Obtain a new Position Identification Number (PIN)
Do not use this guide for:
Reappointments
Changes to an existing position
Hiring or onboarding after a PIN has been created
If you are unsure wether you need a new PIN or if you can use an existing one for a reappointment, contact HR Shared Services before proceeding.
What You Need Before You Start
Gathering this information in advance will help prevent delays or requests being pushed back for rework.
Information Required for ALL Position Types:
Date you want the position created
PIN of the Reports To
Department
Working Title (30 character max, including spaces)
Chartstring(s) and chartstring distribution
Justification for why the position is needed
Additional Information by Position Type
Temporary Staff & Student Employees
Start and end dates
Maximum headcount
Pay rate or hourly range
Work Location
Student Employees
Work-study eligibility
Step 1: Launch the Position Evaluation Request Form
Log in to MySlice using your NetID and password.
Click on the Position Evaluation Request tile.
Step 2: Start a New Request
Select Add New PER.
From the Type menu, choose PTI/Temp/Stdnt.
From the Position Type list, choose either:
Graduate Assistant Position
Part-Time Instructor Position (Includes Faculty Overloads)
Student Employee Position
Temporary Staff Position
Step 3: Complete the Form
Keep these points in mind as you complete the form:
Use the arrow button to keep an existing response: Some responses may already be filled in based on one of your previous responses. Click the arrow button to use that response and continue to the next item.
Pick a response from a look-ahead menu: As you start typing a PIN, department number, or combination code, pick the response from the list that opens as you type.
Look up a PIN and department number: If you don't know the PIN or department number for a question, use the magnifying glass button to look it up:
A. Click the magnifying glass button.
B. Click the arrow next to Search Criteria to show the search criteria boxes.
C. In one of the criteria boxes, type part or all of what you want to search for.
D. Click Search.
E. In the Search Results section, click the item you want.
Step 4: Enter Chartstring Information
Enter the chartfield distribution: To enter the combination codes or chartfields and their distribution for the position:
A. Click Enter Chartfield Distribution.
B. Click the magnifying glass button and enter or look up the combination code or chartfields.
C. In the Distrb % column, enter the percent of distribution for that chartstring.
D. To add another chartstring, click the plus button.
E. When your distribution equals 100%, click Done.
Step 5: Save, Change, or Finish Later
Save and Finish Later
If you find that you don't have all the information you need to complete a form, save it and return to it later:
Select Save if you are not ready to submit.
Note the Transaction ID shown in the upper-right corner.
Saving does not submit the request or notify approvers.
Change a Response
To change a response you've already made, turn on Change mode:
Turn Change Response to On.
Unlock the field you need to update and make your change.
You can return to the request later using the Transaction ID.
Step 6. Submit the Request For Approval
When you get to the Approval button, you have completed the form. To submit it for approval:
Click Approval.
Review the confirmation screen.
Note:
The Transaction ID
The next approver
Select OK.
You have successfully submitted the request when you see the confirmation check mark.
Step 7: Check Request Status and Find the PIN
To check the status of the request and find the position number (PIN):
Open the Position Evaluation Request tile.
On the PER Search / Add page, uncheck the Open Requests Only check box.
Find the request by its transaction ID.
Once the request is approved, you will see the position number (PIN). You will also receive an email with the PIN listed.
