Equipment Issuance Policy — College of Law Staff and Faculty
The College of Law issues standard equipment to support the work of College personnel in fulfillment of their assigned roles and responsibilities.
Computer Equipment
Eligibility
Full-time faculty receive a single university-provided computer. Adjunct faculty are not issued equipment. Visiting faculty and faculty fellows receive desktop equipment for use within Dineen Hall only. Emeritus faculty may use shared equipment in the emeritus office.
Full-time staff receive a single university-provided computer. Part-time and contract staff are not issued equipment. Exceptions depending on the nature of their duties and terms of their contract may be granted only with prior dean's office approval.
Standard Issue Equipment
New eligible employees receive:
One computer (laptop or desktop)
One widescreen monitor (standard); second monitors available by request and subject to approval
Docking station (for laptop users)
Keyboard and mouse
Webcams and speakers available by request
Laptop vs. Desktop Distribution
Faculty may choose to receive a laptop or desktop computer. Staff are issued laptops or desktops on a case-by-case basis depending on responsibilities and mobility needs, at the request of their supervisor. Eligible users are issued a single computer.
Standard Equipment Models
Standard issue equipment includes Windows desktops and Windows or Mac laptops. Users may request Windows or Mac devices, subject to supervisor approval.
Replacement Schedule
Computers are typically replaced on a four-year cycle. Shared and non-primary devices are replaced on a five-year cycle. Computers may be replaced sooner to correct malfunctions, dependent upon IT director approval. To minimize inconvenience, users may defer lifecycle replacement of their current computer beyond the standard timeframe, subject to IT director approval.
Replacement Process
Users may request replacement. Replacements are typically issued prior to or at the start of the Fall semester each year. Old equipment must be returned upon replacement. End-of-lifecycle computers are retained as loaner devices or recycled on a case-by-case basis. Users may not retain old computers.
Cell Phones
Cellular lines are provided to staff only (including faculty who additionally have a staff role), by supervisor request and subject to strict approval by the dean's office. A request rubric must be completed rating the user's need for a phone in accordance with their duties. The request must be initiated by the user's supervisor. Cell phones are eligible for replacement on a four-year cycle, subject to approval.
Purchasing Additional Equipment with University Funds
Computer equipment beyond standard issue is not typically approved for purchase with university funds but may be requested on a case-by-case basis. Such requests require approval by the IT Department and Budget Office prior to purchase. Reimbursement for independently purchased equipment is not approved.
All equipment purchased with university funds, regardless of funding source, is university property and must be returned upon termination or role change.
Equipment Return and Role Changes
All equipment including computers, peripherals, mobile devices, and accessories must be returned to the College upon termination or upon a role-change which affects eligibility. Equipment sent or taken off-premises must be returned to the College at user expense unless prior arrangements are made for the College to cover shipping cost.
Damage and Repair
Damaged or malfunctioning equipment is repaired or replaced at the discretion of the IT director. Loaner devices are available during repair work.
