    Leaves of Absence

Faculty members holding regular appointments may apply for research or administrative leaves. Research leaves are granted for the purpose of encouraging scholarly research, study, or creative activity. Administrative leaves may be granted to accommodate a variety of purposes including personal business, government service, teaching, or family needs.

Faculty members requesting a leave make applications through their department chairpersons to their dean in accordance with the routine prescribed by their school or college. Applications should be made sufficiently in advance to allow processing and enable convenient rearrangement of the teaching and research programs. Ordinarily, applications should reach department heads at least seven months before the end of the semester preceding the leave or leave extension, that is, before October 15 for academic year and fall semester leaves to begin the following September and before February 15 for spring semester leaves to begin the following January.

Leave recommendations should reach the Vice-Chancellor and Provost by November 15 and March 15, respectively, in order to be presented to the Board of Trustees. Leave requests occasioned by certain foundation grants or by health or other reasons beyond the control of the applicant may be made later.

More information on leaves can be found in the faculty manual. Instructions for how to approve your faculty leave are located here.

Administrative Leaves - Must be submitted to the Dean's Executive Assistant one month prior to the filing deadlines of November 15 and February 15. Leaves are approved by the Associate Dean of Finance and Administration, then submitted to Faculty Affairs.

Research Leaves - Must be submitted to the Dean's Executive Assistant one month prior to the filing deadlines of November 15 and March 15. Research leaves are first reviewed by a subcommittee of the Maxwell Faculty Council and then by the Associate Dean of Finance and Administration and the Associate Dean for Academic Affairs, then submitted to Faculty Affairs.

Paternity Leaves- Must be submitted to the Dean's Executive Assistant as soon as possible. Leaves are approved by the Associate Dean of Finance and Administration and then submitted to Faculty Affairs.

Minimum Course Enrollment Policy (Effective Fall 2025)

    Key points from the

    General Overview

    • Applies to: All undergraduate and professional MA courses at Maxwell School (main campus).

    • Excludes: Doctoral-level graduate classes (except for teaching load considerations).

    • Minimum Enrollment: Courses with fewer than 10 students one week before the semester starts will be canceled.

    Instructor-Specific Guidelines

    • Part-time instructors, TAs, and staff: Courses with <10 students will be canceled; reassignment to other duties will occur.

    • Full-time faculty: Must make up canceled courses by:

      • Teaching an extra course within 3 years.

      • Teaching a different course with ≥10 students.

      • Teaching MAX 123 or MAX 132.

      • Offering the content as an independent study (if <4 students).

      • Attempting to recruit students before drop/add period (with prior consultation).

    Required Courses

    • Must be offered regularly regardless of enrollment.

    • If a required course enrolls <10 students twice in a row, a revised teaching plan must be submitted.

    Flexibility Considerations

    • New upper-level seminars (400+ level) and selected topics courses may run with <10 students (with dean’s approval).

    • Selected topics courses:

      • Can be offered twice before needing to be regularized.

      • Limited to 3 undergrad and 2 MA selected topics courses per semester.

    • Faculty teaching large intro courses (100+ students) may be allowed to teach smaller upper-level courses.

    • Courses that usually meet the 10-student threshold but under-enroll once may still run (with approval).

    Independent Studies

    • Faculty who have supervised 10 independent studies (3 credits each) over the past 8 years may use this to justify running an under-enrolled course.

    Class Size & Teaching Load

    • Large class: ≥35 students.

    • Small class: ≥10 students.

    • Faculty expected to teach one large class per semester.

    • Faculty may not teach more than one PhD class per year unless approved.

    Policy Oversight

    • Dean’s Office reviews enrollments 2 weeks before classes start.

    • Chairs/directors notify faculty 1 week and 1 day before classes.

    • Policy reviewed every 3 years after the first year.

    • Non-compliance may lead to disciplinary action.
