PROCEDURES

Search OCLC

If a record exists, verify information and use it.

If no record exists, start with a book workform.

  1. Change the Type to t for manuscript material.

  2. Add m to Cont in fixed field.

  3. Apply thesis constant data record. (See appendix 1)

Leader

The leader will be partially supplied by the template. 008 Publication status s (Usually, not always) Date 1 date degree was granted Place of publication xx Illustrations code as needed Lang eng (some exceptions may occur) The template defaults should be correct most of the time, but check them.

You ALWAYS need to add the date

ALWAYS check for illustrations, if there are none, change the code.

 

 

* Main Entry

Enter the name as given on the title page (Be certain that you have the title page of the thesis not the abstract.) Do not include the author's birthdate. If the thesis has more than one author, enter the first given author in the 100 field and any subsequent author(s) in a 700 field(s). Search the name in Summit to see if this name is already in use.

In most cases names are single surnames. The 100 field of a single and multiple surname is coded with a first indicator of 1.

Search the name in the NAF to see if it is already established.

If name is not established, use it. Add birth year.

If name is established and the person is the same, use the established form. If the established form is for a different person, add the birth year if it is given. If not given, pass the name conflict to your supervisor.

As in normal cataloging, transcribe the title from the title page, followed by the subtitle in a |b, Author goes in |c.

260 === Imprint ===

Input only subfield c. Thesis are not published, so there is no place of publication or publisher.

In most cases the thesis has one significant date, the date the degree was granted. Sometimes the thesis will have a copyright date also. If the copyright and the degree granted date are the same, the copyright date can be ignored. If they are different, then both must be recorded in the record. The DtSt is "t" Date 1 is the degree date and date 2 is the copyright date. In the 260 |c the degree date is first followed by the copyright date.

Use the term leaves if sheets are printed on one side only.

Record the number of the last Roman numeral leaf or page if any, followed by the last Arabic number leaf or page): ix, 284 p.

If the work contains 100 or fewer unnumbered leaves, the leaves are counted and the number is bracketed: [87 leaves]

If the work contains more than 100 unnumbered leaves, give the estimated number of leaves preceded by ca. without brackets: ca. 250 p.

If the work has more than one numbering sequence, record the number of leaves in the main sequence and add, in brackets, the total number of variously paged sequences: xiv, 226 [44] leaves

If the pagination is quite complicated, record the total number of leaves followed by the words " in various pagings"; [587] leaves in various pagings

In extreme cases, describe the work simply as: 1 v. (various pagings)

If the work is more than one physical volume, record the number of volumes: 2 v.

If the work is multi-volume and paged continuously, pagination is given in parentheses, following the number of volumes: 2 v. (xxi, 559 leaves)

Follow the pagination with the abbreviation ill. If the thesis includes any type(s) of illustration. 2 v. : |b ill.

Give the height of the thesis in centimeters rounded off to the next highest number. 2 v. : |b ill. ; |c 28 cm.

If there are accompanying material follow accompanying material instructions on what stays and what gets separated out.

A brief formal note to indicate Work in hand is an academic dissertation.

Add a quote from thesis denoting the exact degree and body granting it. Quote may be located somewhere other than the title page.
