Exceptions:

The goal of the department is to minimize exceptions in processing. We are documenting current exceptions and rethinging them in light of our reduced staff. Once a decision is made we will indicate that on our list.

1. DVDs in the wellness collection get call numbers, in the general collection get accession numbers.

• Melinda Dermody, Isabella Arezzo, and other interested public services parties will discuss classification issues and get back to Cataloguing.

2. DVDs in the wellness collection get barcoded on the outside of the box. DVDs in the general collection get barcoded on the inside of the box.

• As per decision at the Jan. 28, 2009 meeting, all DVDs will be barcoded on the outside of the box, bringing DVDs into line with other similar formats.

2A When there are 2 DVD in 1 box they need to be separated and given two bar codes. (Pat is checking on this)

• Guideline from the Jan. 28, 2009 meeting: DVD sets repsenting works that are artistic entities, such as motion pictures, operas, dance performances, etc. will be left as is in the container and circulated as a unit. DVD sets representing television series, shown as episodes over time, whether series such as NYPD Blue, or I love Lucy, or such productions as Roots or a Ken Burns series will be separated into indivudal jewel cases in order to facilitate circulation of individual discs, each containing a limited number of episodes.

3. Books in Belfer have the owning Library of Syracuse University. Sound recordings in Belfer have the owning library of Belfer.

4. Music sound recordings when they are accompanying a book get separated from the book and cataloged and housed as a sound recording. All other accompanying material remains with the book.

• At a Jan. 30, 2009 meeting, it was agreed that music CDs would remain with the book, with two triggers for circulation staff: a piece count of 2 on the item record and an accompanying materials sticker on the cover of the book below the barcode label.

5. Sound recordings get enhanced 505 Table of Contents added by the cataloger with title/composer/performer information.

6. Addition of specific award to each title received in the Children’s Awards program

• AUL Bobbi Gwilt announced that the specific award would no longer be mentioned in the bibliographic record, pointing out that the information is readily available from other sources.

7. Reclassification of science titles in the Children’s Awards program to a PZ call number

• AUL Bobbi Gwilt announced that science titles would retain their science call numbers and be housed in the appropriate branch library.

8. Local conventions for 856; use of standardized $z public notes, non-display of URL.

• For now, we will continue current policies which are embedded in a variety of routines and integral to current OPAC display conventions.

The following exceptions exist to support current shelving of the collection.

9. Oversize differs between gen collection, N and M call numbers, limited access, and atlases. Ref collections have no oversize.

     Subfield k is needed for oversize items except for locations of Atlas oversize and Atlas oversize flat.

10. When giving a permanent location it is bird followed by the first letter of the class number with these exceptions .

         d   which is divided between d  (D  mono) and da (DA-DX)  

         h    which is divided between h-hd (H-HD2200) and  hd- (HD2321 and over) ;  

         n   which is divided between n (N and NA mono) and nb (NB and over) 

         tr  moved to Bird (Sept. 2022- ) 

11. DVDs, CD-ROMs, CDs, etc. are identified in an 866 by the term used in the 300 +e. If there are multiple items (2 CD-ROMS, 2 CDs, etc.) they become discs in the 866 i.e. disc 1-disc 2.

12. Call number exceptions in general collections:

• Basic policy is to accept full LC call numbers from all OCLC records (except for those numbers assigned by Canadian libraries for literature and history--055, 095).
• Local classiciation practice for standing order series will end; YBP and local cataloguers will use call numbers provided on OCLC
• Indian Census titles: should we continue efforts to organize collection via pre-determined call numbers?
  • As of March 20, 2009, we will continue established classification policy; consultation needed with Asian subject librarian and others
• Bibliographies: Accept call numbers over Z1200?
  • Alternative subject call numbers in records will be completed
  • If record contains only a call number over Z1200, that number will be used.
• Cutter numbers:
  • SUMMIT contains titles Cuttered following both LC and Cutter Sanborn; as a result, they are not uniform.
    • Do not spend time on this (unless you are dealing with a an author's literary number)
    • If you are assigning a call number, select the most frequently used Cutter if there is one
    • Do not reject the call number in a member record because of the Cutter.
  • Literary author numbers: the goal remains to gather an author's works together under one author number (however, do not interrupt current work to identify and/or undo problems from the past)

Copyright questions

• recordings of a promotional nature (which may or may not be issued in that version)
• photocopies (as exemplified by Savada print items)
